Xentree for Chrome ("the Extension") is designed to help you track your learning activities on AI platforms and build your skill portfolio. This Privacy Policy explains what data we collect, how we use it, and your rights regarding your data.

Data Collection

What We Collect

1. Platform Activity Data

  • URLs of AI platforms you visit (ChatGPT, Claude, Copilot, Gemini, Google AI Studio)
  • Time spent on these platforms
  • Timestamps of your sessions
  • Platform names (e.g., "ChatGPT", "Claude AI")

2. Authentication Data

  • Your Xentree account authentication token (stored locally)
  • Session cookies for maintaining login state

3. User-Submitted Content

  • Text you explicitly choose to send via "Send to Xentree" context menu
  • This data is only collected when you actively use the feature

4. Browser Data

  • Current tab URL (only on supported AI platforms)
  • Tab visibility state (to accurately track active learning time)

What We DON'T Collect

  • We do NOT read or store your conversations with AI platforms
  • We do NOT collect browsing history outside of supported AI platforms
  • We do NOT collect personal information from websites
  • We do NOT track keystrokes or form inputs
  • We do NOT access files on your computer

How We Use Your Data

1. Learning Time Tracking

  • Calculate total time spent on AI platforms
  • Generate learning analytics and statistics
  • Award experience points (XP) based on learning activities

2. Skill Portfolio Building

  • Track which AI platforms you use
  • Build a timeline of your learning activities
  • Display learning sessions in your Xentree profile

3. Streak Maintenance

  • Track daily learning streaks
  • Send notifications about streak status
  • Award bonus XP for maintaining streaks

4. AI Analysis (Optional)

  • When you use "Send to Xentree", text is sent to AI for analysis
  • Used to provide summaries, insights, or answer questions
  • Only processed when you explicitly use this feature

Data Storage and Security

Where Your Data is Stored

  • Server Location: Microsoft Azure Cloud (Southeast Asia region)
  • Database: PostgreSQL with encryption at rest
  • Cache: Redis for temporary session data
  • Local Storage: Authentication tokens stored in browser's secure storage

Security Measures

  • All data transmission uses HTTPS/WSS encryption
  • Authentication tokens use OAuth2 with JWT
  • Regular security audits and updates
  • Access controls limit who can view your data (only you and system administrators)

Data Retention

  • Learning activity data: Retained indefinitely or until you delete your account
  • Session data: Stored permanently in your learning history
  • Authentication tokens: Expire after 30 days of inactivity
  • Cache data: Automatically cleared after 24 hours

Data Sharing

We DO NOT Share Your Data

  • We do NOT sell your data to third parties
  • We do NOT share your learning activities with other users (unless you make it public)
  • We do NOT provide data to advertisers
  • We do NOT share data with AI platform providers (ChatGPT, Claude, etc.)

Limited Sharing Scenarios

1. AI Processing Services

  • When you use "Send to Xentree", content is sent to AI providers (Azure OpenAI, Anthropic, etc.)
  • Only the text you explicitly send is shared
  • Subject to the AI provider's privacy policy

2. Legal Requirements

  • We may disclose data if required by law or legal process
  • We will notify you unless prohibited by law

Access Your Data

Delete Your Data

  1. Delete Specific Sessions: Contact [email protected]
  2. Delete All Data: Contact [email protected]
  3. Uninstall Extension: Removes local data and stops tracking

Opt-Out

  • Stop Tracking: Uninstall the extension
  • Stop Notifications: Disable in extension settings
  • Stop Specific Platforms: No granular control yet (coming soon)

Permissions Justification

storage

Store authentication token and user preferences locally. Data stored: Auth token, last sync time, user settings.

tabs

Detect when you're on AI platforms to track learning time. Only reads URL of current tab, not content.

activeTab

Get URL of the page where you use "Send to Xentree". Only when you actively use the feature.

contextMenus

Add "Send to Xentree" to right-click menu. No data collection, only adds menu item.

notifications

Show XP earned and streak notifications. Display-only, no data collection.

<all_urls> (Host Permissions)

Track activity across different AI platform domains. Only monitors URLs, not page content. Platforms: ChatGPT, Claude, Copilot, Gemini, AI Studio, Xentree.

Important: We only check URLs to detect platform visits. We do NOT read page content, conversations, or personal data. Tracking only occurs when tabs are visible and active.

Third-Party Services

AI Providers (when you use "Send to Xentree")

Analytics

We use Google Analytics and Google Tag Manager to understand how users interact with our website and extension:

  • Google Analytics: Tracks website usage patterns, page views, and user demographics
  • Google Tag Manager: Manages tracking codes and marketing tags
  • Data Collected: Page views, session duration, geographic location, browser type, and device information
  • Privacy: This data is anonymized and used solely for improving our services

Extension-specific analytics: All learning activity analytics from the extension are processed internally on our servers and are NOT shared with Google Analytics.
